Getting clients to pay on time

A late invoice is a loan you didn't agree to make. Yet most agencies quietly finance their clients — sending invoices whenever they remember, chasing awkwardly over email, and eating 30, 60, even 90 days of delay. The fix isn't being pushier. It's having a system so payment happens by default.

Bill on a schedule, not a whim

Retainers should invoice automatically on the same day every month — the 1st, say — without you thinking about it. When billing is manual, it slips, and every day an invoice goes out late is a day it gets paid late. Automate the issue date and you remove the first source of delay: yourself.

Make the terms unmissable

Every invoice should state the due date clearly and the same way every time. "Due on receipt" and "Net 15" set very different expectations — pick one, put it in the contract, and repeat it on the invoice. Ambiguity is an invitation to pay late.

Make paying effortless

The single biggest lever is removing friction. If paying you means a bank transfer someone has to set up, it drifts to the bottom of the to-do list. If it's a "Pay now" button that takes a card in ten seconds, it gets done. Online payment isn't a nice-to-have — it measurably shortens the time from invoice to cash.

Automate the follow-up — and escalate

Don't rely on remembering to chase. A good reminder cadence runs itself and gets firmer over time:

  1. A few days overdue — a friendly nudge. "Just a heads up, this one's a little past due."
  2. Two to four weeks — firmer, referencing the active work that depends on it.
  3. Past a month — a final notice, clear about consequences.

The tone matters, but the consistency matters more. Clients pay the vendors who follow up.

Watch overdue like a hawk

You can't chase what you can't see. Keep a live view of what's outstanding and what's overdue, sorted by how late it is. The agencies with healthy cash flow aren't the ones with the nicest clients — they're the ones who never let an overdue invoice go quiet.
